How to turn a PDF table into an Excel spreadsheet

Start with a PDF containing selectable text. Choose the pages you need, check the extracted rows, then download an Excel workbook with a separate sheet for each table. Your PDF stays in your browser.

The quick workflow

  1. Open the PDF table extractor and choose a PDF. You can try the example first without finding a file.
  2. Leave Pages blank to check all pages, or enter a range such as 2-4. Select Extract tables.
  3. Compare the preview with your original PDF. Uncheck unwanted tables and select Update downloads with selected tables.
  4. Choose Download Excel (.xlsx) for one workbook, or Download CSV files (.zip) for one CSV per table.
  5. To paste into an existing spreadsheet, choose a table from the dropdown and select Copy table. Paste into the top-left destination cell.

Decision 1: is this a supported digital-text PDF?

Open the source in an independent viewer and try selecting a short cell value. Selection alone is not proof, but it helps distinguish digital text from an image-only scan. Use the extractor only when the file is authorized, begins with a normal PDF signature, is no larger than 8 MiB and exposes no more than 50 page objects.

  • Encrypted: stop. The tool returns BLOCK and does not attempt decryption.
  • Scanned or image-only: stop the extraction claim. The tool returns INDETERMINATE because it performs no OCR.
  • Rotated, skewed, unresolved-font or unsupported stream: retain the coverage warning and use manual review or another bounded workflow.
  • Digital text with stable coordinate rows: continue, but still compare the result with the page.

Decision 2: limit the job before tuning columns

  1. Record the exact source file and keep it unchanged during review.
  2. Enter only the pages that contain the target table, for example 3-5. A page selection is part of the extraction policy and changes the receipt hash.
  3. Run automatic anchors first. Inspect the coordinate map rather than judging the spreadsheet alone.
  4. If columns are grouped incorrectly, enter vertical separators in PDF points such as 200,400. A separator divides the page into bands; it does not make unsupported text safe.
  5. Select only the detected table IDs needed for the handoff. Rebuild the evidence packet after changing the selection.

Do not move separators until the output “looks right” and then forget the policy. The exact page, table and boundary choices are evidence and belong in the receipt.

Decision 3: read PASS, BLOCK and INDETERMINATE literally

PASS

The selected subset has a stable table and no known unsupported signal. PASS is bounded; it does not certify totals, dates, identities, currencies or the unseen remainder of the PDF.

BLOCK

The PDF declares encryption. No text extraction is attempted. Create an authorized decrypted copy outside FastTool and treat it as a new input with a new hash.

INDETERMINATE

A stable result cannot be claimed. The reason may be scanned content, incomplete decoding, rotation, text crossing a manual separator, a sparse/merged-like row or no stable table.

Input error

A malformed signature, excessive size or invalid page/boundary expression unlocks no export. Correct the input; never reuse a stale packet.

Excel, CSV or copy: which should you choose?

  • Excel (.xlsx): the easiest option for several tables. Each table gets its own sheet named with its source page, original columns, a frozen header and column filters.
  • CSV files (.zip): one rectangular CSV per selected table. Unzip the download and import the file you need. Different table layouts are never silently combined.
  • Copy table: tab-separated rows for pasting into Excel or Google Sheets. Choose the table you want before copying.
  • Cell log (.csv), under More formats: an optional audit list with source page, row and column for each cell. This is not the normal spreadsheet export.
  • JSON, map, notes and receipt: optional review files containing raw values, coordinates, extraction limits and exact file hashes. The map is not a rendered PDF page; matching hashes establish file identity, not correct interpretation.

Values are exported as text to preserve leading zeros and avoid guessing whether 03/04 is a date or whether a comma is a decimal separator. After checking the original, convert only the intended columns to numbers or dates in your spreadsheet. Formula-leading values are protected with an apostrophe.

Required review before import

  1. Verify the receipt core and every artifact with Receipt Verifier.
  2. Compare column headings and every exported row with the original PDF in an independent viewer.
  3. Check totals, signs, decimal separators, dates, currency labels and blank cells separately.
  4. Confirm the number of selected pages and tables matches the intended scope.
  5. Keep the original PDF, extraction policy, artifacts and receipt together. If the source or policy changes, discard the old approval.

For financial, legal, medical, regulatory or safety decisions, this browser tool is only an extraction aid. A qualified reviewer remains responsible for the source interpretation.

Why are the columns wrong, or the download unavailable?

  • Everything appears in one column: when opening CSV, use your spreadsheet's import dialog and select comma as the separator. Or choose XLSX to avoid delimiter settings.
  • Rows do not line up: compare the preview with the PDF. Try a smaller page selection or manual column boundaries. The tool cannot reliably fix merged cells or complex page layouts.
  • The PDF is a scan: this tool does not perform OCR. Use a separate OCR workflow and check its recognition errors before relying on the result.
  • Numbers will not sum: values intentionally remain text. Confirm decimal separators, units and leading zeros, then convert the appropriate column in your spreadsheet.
  • A setting changed: downloads are locked until you extract again. This prevents saving a result from the previous file or selection.
